Executive Assistant (80%, 7-month fixed-term assignment)

Job description

We are looking for an experienced and highly organized Executive Assistant to support our Leadership Team on a 7-month fixed-term assignment starting in November 2026.

In this role, you will act as a trusted partner, ensuring the efficient coordination of executive priorities, meetings, communications, and administrative activities. You will work closely with senior stakeholders across the organization, support the preparation and execution of Leadership Team meetings, and help facilitate the smooth operation of key business activities.

The successful candidate combines exceptional organizational skills, sound judgment, discretion, and a proactive approach. You thrive in a dynamic environment, enjoy coordinating multiple priorities, and take pride in enabling leaders and teams to perform at their best.

 

Key Responsibilities

Executive Support & Coordination

  • Manage complex calendars, scheduling, and travel arrangements for members of the Leadership Team.
  • Coordinate Board meetings, Leadership Team meetings, off-sites, and other key events.
  • Prepare agendas, presentations, reports, meeting materials, and follow-up documentation.
    Coordinate the collection, preparation, and filing of content for Board and Leadership Team meetings.
  • Support executive communications and correspondence as required.
    Handle confidential information with a high degree of discretion and professionalism.

Business Support & Administration

  • Coordinate activities and follow-up actions across teams to support the execution of key business initiatives.
  • Facilitate effective communication and collaboration between departments and stakeholders.
  • Track departmental budgets and process vendor invoices.
  • Maintain and organize documentation, records, and shared information repositories.
  • Support onboarding activities, distribution list management, and other administrative processes.
  • Collaborate closely with the Executive Assistant team and provide support during peak periods and holiday coverage.
  • Support document preparation, reporting, and meeting follow-up activities.

Requirements

For this position, we are looking for a highly motivated and experienced individual bringing along:

  • Commercial apprenticeship, diploma in Executive Administration, Business Administration, or a comparable qualification.
  • Substantial experience supporting senior executives and leadership teams in a complex, fast-paced environment.
  • Proven experience managing highly complex calendars, international travel arrangements, leadership meetings, and competing priorities for multiple senior stakeholders.
  • Min 3 years of experience supporting executive leadership teams and coordinating meetings, off-sites, and executive-level communication
  • Demonstrated ability to operate independently, exercise sound judgment, and proactively anticipate the needs of senior leaders.
  • Exceptional organizational, planning, and time-management skills, with the ability to manage multiple priorities simultaneously.
  • Strong stakeholder management skills and the ability to build trusted relationships across all levels of the organization.
  • High level of professionalism, discretion, and confidentiality when handling sensitive information.
  • Ability to navigate ambiguity, adapt to changing priorities, and maintain a high level of accuracy under pressure.
  • Excellent interpersonal and communication skills, with the ability to work effectively across functions and teams.
  • Strong problem-solving skills and a proactive, service-oriented mindset.
  • Excellent written and verbal communication skills in English.
